When it comes to time management, the first thing that comes to mind is usually the art of keeping an organized schedule. Yet, an organized schedule can be much more than simply color-coded tasks which correlate to a specific plan or goal. Schedule organization has as much to do with effectiveness as it does with staying on top of things. When it comes to creating an effective schedule, there are some key tips you need to keep in mind.

Avoid Workaholism

When most people you see an open block of space in their schedule, a little voice in their brain starts telling them to fill it. Immediately. For whatever reason, this little voice seems to think that we can consistently accomplish tasks at alarming rates and always get perfect results. And yet, we press the little “schedule” button anyway.

When it comes to creating an effective schedule the first real step is to know your limits. An overwhelmed worker is half as effective in double the time. Scheduling time for rest, both at home and throughout the workday, is essential for ensuring the brain and body have time to recuperate and function at optimal efficiency. Whether these breaks are completing small tasks or allowing yourself 10 minutes of youtube every hour, you need to schedule in downtime which will give you the chance to reflect and unwind.

Use Scheduling Tools

The use of scheduling tools is ideal for defending your time. There is no greater time-sucker in the corporate world than completing redundant tasks like filling in your schedule. Using a tool allows you to effortlessly transfer appointments made via email into your calendar. When you write down a meeting time, simply CC a copy of your client confirmation email and your meeting will be seamlessly input into your calendar.

Know Your Values

Lastly, know your values. List out both your personal and your work values, and rank them from 1 to 10. Then merge the lists and re-rank the top 5 items from each list. At the end of this, you will have a list of 10 things which are your core goals, ambitions and passions in your life right now. Take the list and match it to your schedule. Are the most important items being given their due? If not, it’s time for a schedule makeover.
